DealerClick and QuickBooks: How the Accounting Sync Actually Works

Who This Page Is For

This page is for a DealerClick dealer who already runs QuickBooks for company accounting and wants to know exactly what data moves between the two systems, and what setting it up involves. DealerClick's integration supports both QuickBooks Online and QuickBooks Desktop.

Two-Way Accounting Sync, Not a One-Time Export

The integration runs bidirectionally. DealerClick pushes completed vehicle sales, BHPH payments, parts sales, and service revenue to QuickBooks as journal entries as they happen, and QuickBooks can push vendor bills and expense transactions back to DealerClick for reconciliation. Sync frequency is configurable -- real-time, hourly, daily, or weekly -- and account mapping is customized to match the chart of accounts a dealer already uses rather than forcing a new one.

More complex transactions are handled the same way: trade-ins, payoffs, and multi-payment deals are broken into the correct accounting entries automatically, rather than landing in QuickBooks as a single lump sum a bookkeeper has to untangle by hand. Setup takes 2-3 hours with DealerClick support, who map a dealer's existing QuickBooks accounts to DealerClick's transaction types before the sync goes live.

Configured For Your Vertical, Set Up By DealerClick

On the RV, powersports, and trailer product lines, the integration is a one-click data transfer that eliminates manual reconciliation after the export, and DealerClick's own technicians configure that connection on the RV line as part of setup. On the marine product line, the same accounting sync is described as automating data flow between the two systems to cut down on manual effort and increase accuracy.

The same synced data -- vehicle sales, BHPH payments, parts, and service revenue -- posts to QuickBooks the same way for used-car, buy-here-pay-here, lease-here-pay-here, rent-to-own, and auto-dealer-leasing dealerships too, regardless of which kind of vehicle inventory a dealership runs.

What Manual Bookkeeping Looks Like Without It

Without the sync, an accounting team is retyping deals, service tickets, and floorplan payments into QuickBooks by hand, which DealerClick's own guide to the integration lists as the direct cause of double entry, delayed financial close, and an audit trail that is hard to reconstruct after the fact. None of that is a QuickBooks limitation -- it is what happens when a DMS and an accounting package are never connected in the first place.

The steps below cover the setup. For chart-of-accounts mapping, sync scheduling, and reconciliation in more depth, DealerClick's blog walks through the same integration step by step.

Setup

Setting Up the DealerClick QuickBooks Integration

Step 1: Confirm Your QuickBooks Version and Assign an Owner

Confirm your QuickBooks deployment -- Online Advanced or Desktop Enterprise -- supports the level of automation you want, and that your DealerClick subscription includes the QuickBooks connector. Assign one person, typically the controller working alongside a DealerClick power user, as the integration owner before setup starts.

Step 2: Align Your Chart of Accounts

Audit your existing chart of accounts and consolidate duplicates before the sync goes live. DealerClick's setup maps deals, service, parts, fees, and taxes to the accounts a dealer already uses, rather than requiring a new chart of accounts built around the DMS.

Step 3: Connect the Two Systems and Choose a Sync Schedule

DealerClick support completes the connection in 2-3 hours, authenticating with QuickBooks and mapping a dealer's existing accounts to DealerClick's transaction types. During that session, the dealer chooses how often the sync runs -- real-time, hourly, daily, or weekly -- and which modules it covers, such as deals, receivables and payables, or inventory adjustments.

Step 4: Reconcile On a Regular Schedule

Once the sync is live, compare DealerClick's own control reports against QuickBooks exports on a regular schedule to catch any variance early. Complex transactions like trade-ins, payoffs, and multi-payment deals are already broken into the correct accounting entries automatically, which is what keeps that reconciliation from turning into a manual rebuild every month-end.
